The questions to expect
Tell me about a time you handled sensitive employee information — pay, health, a disciplinary. How did you keep it safe?
The detail that convinces: who you didn't tell. Show restricted access, careful filing, and staying neutral when colleagues fished for gossip.
Walk me through onboarding a new starter in the UK — right-to-work checks, contract, references, payroll setup.
Order and legality matter: right-to-work before day one, signed contract, references logged, payroll and pension in before cut-off. A checklist answer wins.
Which HR systems have you used — Workday, SAP, PeopleHR, BambooHR, or similar — and what did you actually do in them?
Specific verbs beat system names: 'processed leavers', 'ran absence reports', 'fixed holiday balances'. If your system was niche, say what transfers.
Describe a time you spotted an error in HR data or a contract before it went out.
Salary typos and wrong start dates are the classics. Show what you cross-checked, and the awkwardness you saved someone downstream.
An employee emails you upset about their manager and asks you to keep it off the record. What do you do?
Kind but honest: you can listen, but you can't promise secrecy if there's a safeguarding, legal or grievance issue. Show you'd explain that and signpost options.
It's payroll cut-off day and a manager sends through late changes. How do you handle it?
Protect the deadline and the employee: check what's genuinely urgent, escalate what risks someone's pay, and log the rest for next cycle — politely, in writing.
Tell me about a time you helped an employee who was confused or stressed about an HR process.
HR admin is a service job. Show patience, plain English instead of policy-speak, and the follow-up that made sure they were actually sorted.
Why HR — and where are you with CIPD study?
Connect a real interest in people-plus-process to a concrete plan: CIPD Level 3 underway or intended is the expected answer at this level. Be honest about timing.
How would you use AI tools to speed up HR admin — letters, minutes, policy FAQs — while keeping personal data safe?2026
The trap is pasting employee data into public tools. Show you'd use approved tools only, anonymise inputs, and proof-read every generated letter.
Tell me about a time you handled confidential information. How did you protect it?
Pick a real example — payroll, personal files, a sensitive meeting — and show the habits: locked screens, need-to-know sharing, no corridor chat.
A senior colleague asks you to share information you know should stay confidential. What do you do?
Seniority doesn't override policy. Show a polite, firm no — offer the proper route (ask the data owner, go through HR) rather than a flat refusal.
Two managers each insist their task is the priority and both are due today. How do you decide?
Don't secretly choose — surface the clash. Ask about real deadlines and impact, propose an order, and let them know the plan. Transparency is the skill.
