The questions to expect
Explain double-entry bookkeeping. If I buy £500 of stock on credit, what are the entries?
Every transaction hits at least two accounts: Dr purchases/stock £500, Cr trade creditors £500. Say the debit and credit out loud, confidently — it's the core test.
What's the difference between accounts payable and accounts receivable, and how do you keep on top of both?
Payable = what you owe suppliers; receivable = what customers owe you. Then show routine: weekly ledger reviews, statement reconciliations, chasing rhythm.
Which packages have you used — Sage, Xero, QuickBooks — and how do you handle bank feeds and reconciliations in them?
Name versions and real tasks: setting bank rules, matching feeds, month-end reconciliation. If you know one well, say you know one deeply and learn fast.
Tell me about a time a reconciliation wouldn't balance. How did you track down the difference?
Narrate the hunt: check the difference amount for clues, timing items, duplicates, then line by line. Patience plus method is the answer they want to hear.
Describe how you've managed bookkeeping for multiple clients or entities with competing deadlines.
Show your system — a deadline calendar (VAT quarters, payroll dates, year-ends), batching similar work, and what you flag early when time is short.
Tell me about the trickiest transaction you've had to post, and how you worked out the correct treatment.
Pick something real — a hire purchase, a director's loan, a part-exchange. Showing you research and ask before guessing is a strength, not a weakness.
What does Making Tax Digital mean for how you keep records and file VAT returns?
Digital records, MTD-compatible software, quarterly VAT filing through the API — and income tax joining from April 2026. Knowing the rollout dates impresses.
What attracted you to bookkeeping, and what do you enjoy about the detail?
Be honest and specific: the satisfaction of a clean reconciliation, keeping a business's records trustworthy. Genuine enjoyment of order reads as reliability.
Xero and QuickBooks now auto-categorise most transactions with AI. Where does the human bookkeeper still add value?2026
Auto-categorisation is confidently wrong just often enough. Your value: reviewing, correcting, judging edge cases, and explaining the numbers to the owner.
Walk me through the three financial statements and how they link together.
Net income tops the cash flow statement; ending cash lands on the balance sheet; net income also flows to retained earnings. Practise it aloud in under 90 seconds.
What's the difference between profit and cash flow, and why does it matter?
Accruals versus cash timing. Give one concrete example — a profitable firm failing on cash because debtors pay late — and you've shown real understanding.
Tell me about a time you found an error or discrepancy in financial data. What did you do?
Show your method: how you spotted it, traced the cause, corrected it, and what control you added so it can't recur. The control is the impressive part.
