What they assess

The questions to expect

Talk me through a monthly payroll cycle from data collection to payslips. Where can it go wrong?

Starters/leavers, variable pay, deductions, run, check, submit, pay, reconcile. Naming the failure points — late data, wrong tax codes — shows you've run one.

What are RTI submissions — FPS and EPS — and when does each have to go to HMRC?

FPS on or before payday with actual payments; EPS by the 19th for recoveries and nil returns. Precise dates are the difference between knowing and having heard of.

How do you handle statutory payments like SSP and SMP, and a new starter who arrives without a P45?

Show working knowledge: qualifying rules, current rates roughly right, and the starter checklist to set the tax code. 'I check HMRC guidance' is fine when paired with method.

What does IR35 mean for payroll when a contractor is assessed as inside?

Deemed employment: the fee-payer deducts PAYE and NI and flags them as off-payroll workers on the FPS. Knowing the payroll mechanics, not the politics, is the win.

Tell me about a payroll error — yours or one you found. How was it fixed, and what changed afterwards?

People remember being paid wrong. Show fast correction, honest comms with the employee, and the control you added. Owning it calmly reads as safe hands.

Describe running payroll to a hard deadline when the data arrived late.

Payday doesn't move. Show your escalation: chasing early, agreeing cut-offs, what you processed provisionally and trued up next run — with everyone informed.

A manager asks you what a colleague earns. What do you say?

A polite, firm no unless they have a legitimate need and authority — and you'd check that through HR. Say the actual sentence you'd use; that's what they're testing.

Tell me about a time you had to get to grips with a payroll legislation change quickly.

April rate changes, NI thresholds, holiday pay rulings — pick one, show how you learned it, tested it in the system, and briefed affected staff.

Payroll software now automates most calculations. Where do you still apply judgement, and how do you check the system's output?2026

Gross-to-net spot checks, variance reports against last run, edge cases the software fumbles (mid-month changes, court orders). Trust, then verify, every run.

What attracted you to payroll, and what keeps you in it?

There's a proud, honest answer here: everyone gets paid correctly and on time because of you. Specific pride in that responsibility lands well.

Walk me through the three financial statements and how they link together.

Net income tops the cash flow statement; ending cash lands on the balance sheet; net income also flows to retained earnings. Practise it aloud in under 90 seconds.

What's the difference between profit and cash flow, and why does it matter?

Accruals versus cash timing. Give one concrete example — a profitable firm failing on cash because debtors pay late — and you've shown real understanding.
